Terms of service

Last updated 29 October 2026

These terms apply when you use Charifolio, operated by Tinloy Wen in New Zealand (“we”, “us”). By signing in or paying, you agree to them on behalf of yourself and the organisation you are preparing a report for.

1. The service

Charifolio reads your organisation's Xero data and helps you prepare a performance report under the Tier 4 (NFP) Standard, including the official Charities Services template (Excel) and a PDF. It is a preparation tool. It does not lodge your report, and it is not an audit or review.

2. Your account and Xero access

  • You must be authorised by the organisation to access its Xero file and to prepare its performance report.
  • We only ask Xero for read-only access. You can disconnect an organisation at any time from your dashboard or in Xero. We also disconnect it automatically after you download the final report, or after 3 days without use. Your saved work is kept, and you can reconnect at any time.
  • Keep your Xero sign-in secure. You are responsible for activity under your account.

3. Your responsibilities

  • Make sure your Xero records are complete and correct. The report can only be as accurate as the data it uses.
  • Review the report, including account mapping, adjustments and last year's figures, before it is approved and filed.
  • Check that your organisation is eligible to report under Tier 4.
  • Have the report approved by those charged with governance and file it with Charities Services on time.

See our disclaimer for more about what the service does not do.

4. Fees and payment

Previews and watermarked draft PDFs are free. To download the final PDF and the completed Excel template, you pay once for each organisation and financial year. The price depends on that year's operating payments:

  • Operating payments under $30,000: NZ$49
  • Operating payments $30,000 to $80,000: NZ$89
  • Operating payments $80,000 to $140,000: NZ$129

Prices are in New Zealand dollars. We are not registered for GST, so no GST is charged and no tax invoice is issued. The price is shown before you pay, and payments are processed by Stripe. After paying, you can download that report again as often as you need.

We sometimes give out promotional codes, for example to pilot organisations. A code can be entered on the payment page, can only be used as stated when it was given (for example once, or before an expiry date), and has no cash value. Any refund is limited to the amount you actually paid.

5. Refunds

If the service can't produce a report that reconciles to your bank balances because of a fault in the service, contact us within 30 days of paying and we will fix the problem or refund you. Nothing in these terms limits your rights under the Consumer Guarantees Act 1993 or the Fair Trading Act 1986 where those Acts apply.

6. Acceptable use

Don't misuse the service. For example, don't try to access other people's data, interfere with the service, or use it for anything unlawful.

7. Ownership

You and your organisation own your data and the reports you create. We own the software. We use your data only as set out in our privacy policy.

8. Availability and changes

We aim to keep the service available, especially near filing deadlines, but can't guarantee it will always be available or error-free. We may change or improve features. If we ever close the service, we will give reasonable notice so you can download any paid reports.

9. Liability

To the extent the law allows:

  • the service is provided “as is”;
  • we are not liable for indirect or consequential loss, such as late filing penalties or lost funding; and
  • our total liability to you is limited to the amount you paid for the report concerned in the 12 months before the claim.

Nothing in these terms excludes liability that can't be excluded by law.

10. Ending your use

You can stop using the service and disconnect Xero at any time, and ask us to delete your data. We may suspend access if these terms are seriously breached.

11. General

These terms are governed by New Zealand law, and New Zealand courts have jurisdiction. We may update these terms; the version on this page applies from the date shown. If we make significant changes, we will tell signed-in users.
